The IEEE has a formula to determine the maximum fee per copy of the Proceedings that an ICASSP, or other IEEE Conference, should pay. Finance should ensure that the Publications complies with these regulations.
The IEEE requires an ICASSP to supply the IEEE with a certain number of Proceedings. The IEEE has a formula for determining the price at which these are acquired. This price is less than the ICASSP per-copy cost, but greater than the additional cost of printing the extra copies. Contact the IEEE Conference Services for the actual fee to be paid. Insist upon a written confirmation from IEEE Conference Services specifying the quantity and per copy price of the Proceedings to be sent to the IEEE. Make sure that the Publications Chairperson submits the IEEE Conference Publications Form about a year before the ICASSP. In addition to paying for the ICASSP Proceedings, the IEEE reimburses the ICASSP for the costs of shipping the Proceedings to Piscataway, NJ. The fee for these Proceedings, called the ``book broker fee,'' may either be directed to the conference or to the SP Society upon determination of the Conference Board.
IEEE policy requires that the ``On-Site'' fee charged for individual copies of ICASSP Proceedings be lower for IEEE members than for non-members. The ``Post-Conference'' sales prices are set by IEEE Conference Services.
